Data Value TalkValuation notes on operational records

Data Value Talk · Working papers

Put the evidence before the price.

Build a useful brief about your records. If you already have offers, compare what each payment buys and what you give up.

This worksheet produces your evidence notes, a side-by-side terms comparison and questions to resolve. It does not estimate a price, verify rights or choose an offer. You do not need an offer, a minimum company size or a referral application to use it.

Your entries stay in this page. They are not sent or saved by this tool. Download before leaving or reloading. Use general descriptions; do not enter personal details, confidential records or contract text you cannot share. The downloaded file contains your notes: store it appropriately.

Data value preparation worksheet

Describe what you can evidence

Unknown is a useful answer. Record what needs checking rather than giving it a score.

Name systems, record types, date ranges and gaps. Use a general description, not actual records.

Who can authorize a license? Which ownership, client, employment or vendor terms need checking?

Which real task could these records support? What context or specialist history is hard to replace?

Describe completeness, duplicates, linked outcomes, formats and how you would check a sample internally.

List categories to exclude or review: personal details, client material, confidential or restricted records. Do not paste them here.

Record estimated staff effort, export, review and removal costs, and the benefit of keeping the data for internal use.

Compare actual offer terms

Optional. Use anonymous labels A and B. Enter only terms you have received; leave unanswered items blank. Different currencies, rights or payment conditions cannot be ranked by the headline amount.

Add or edit offer A and B
Data and permitted uses

Systems, years, recipients, permitted training or other uses, and onward sharing.

Payment basis and currency

Copy the quoted amount and currency, or describe a royalty, installment or conditional payment. Leave unknowns explicit.

Acceptance and payment timing

What must be approved, by whom, by what deadline? When is cash due? Can it be withheld or recovered?

Exclusivity and retained rights

Can you keep using the data or license it again? Which uses, territories or customers are restricted?

Duration and end of license

Term, renewal, termination, deletion, and what happens to derived models or copies.

Costs you bear

Preparation, legal review, redaction, ongoing support, fees and taxes to clarify. State the currency.

Risk allocation and open questions

Warranties, indemnity, liability limits, security commitments and items for an adviser.

Take a clearer brief to the next conversation

Review missing inputs and differences. These are prompts for investigation, not an assessment of whether your records qualify.

Use the right evidence for the question

Cost
Estimate the effort to obtain comparable useful records and prepare them. Past spending is not a guaranteed minimum price.
Market
Look for real offers covering comparable data and rights. A public headline without scope or conditions is weak evidence.
Income
Separate conditional receipts, preparation costs and timing. Keep internal-use benefits separate so you do not count the same benefit twice.
